Once a work is recorded in the system, with at least one product (such as the paperback or the hardback), there are two ways to add another product to it.

The first is to choose to add a new product, which creates a bare-bones product ready for you to edit.

1. Go to the Work page

Browse or use the search to go to the work.

2. Add a new product.

Click Tools at the bottom of the local sidebar and choose Add new product.


The other way to add another product to the work is to duplicate an existing one, then change any information that needs to be changed.

2. Duplicate one of its products

Before you do this

Make sure you don’t choose the option to duplicate the entire work.

Click Tools at the bottom of the local sidebar and choose the product you want to duplicate.

The product is duplicated in the background, creating a new product that shares many of the metadata values of the original. This includes the following.

  • product series names, product marketing texts, product contacts, prices, any royalty specifier with its royalty date escalators, royalty discount escalators, royalty quantity escalators and their royalty quantity escalator channel rates
  • product masterchannels and their royalty specifier with its royalty date escalators, royalty discount escalators, and royalty quantity escalators with their royalty quantity escalator channel rates
  • product channels and their royalty date escalators, royalty discount escalators, and royalty quantity escalators with their royalty quantity escalator channel rates
  • at this time, sale value escalators are not copied across

ISBNs and other product identifiers are not duplicated. Instead, the newly duplicated record has an ISBN called Duplicated Record. The following attributes are not duplicated:

  • ISBN
  • internal reference
  • pub date
  • trade announcement date
  • public announcement date
  • status sign off date
  • pdf ready date
  • last updated for sign off
  • planned pub date
  • expected availability date
  • on sale date
  • publishing status
  • out of print date

How do you know which one is the newly duplicated product and which is the original?

Hover over the product name. A pop up box shows whether there’s an ISBN or not. If there’s no ISBN, that is the newly duplicated product.

3. Amend your duplicated product

After you duplicate the product, to change some of the new product’s data,  click  Metadata.

Typically, take the following actions, depending on whether this is a completely new edition (e.g. a third edition), or a new format of the current edition (e.g. an eBook): 

  • Assign a new ISBN
  • Set an expected publication date
  • Set a publishing status (likely to be Forthcoming)
  • Set a new edition number, edition type codes, and an edition statement on the new product
  • Amend the format: scroll down to Format > Form. Choose an In-house edition and Format. Click Save. Then fill in any remaining fields.
  • Either upload a new cover, or link one of the current covers to the new product
  • Either supply new marketing texts (table of contents, long and short description, etc.), or associate the existing ones with the new product (or a combination of the two – maybe the old table of contents still applies, but there is a new long description)

4. Add the new edition number

If you are creating a new edition of a work, where the content represents a significant difference to the previous product (so more than just a reprint with errata), then set an Edition number on the new product.

If this is to be the second edition, then the current products on the work should not be labelled with an edition number until you have created the second edition. At that point, set Edition number to 1 on the original work.

What do I need to do to create an epub on a work?

  • Follow steps 1 and 2 to duplicate a product on your work
  • On the Metadata page, allocate an ISBN to your new product
  • In Product types, choose Electronic Book Text as the Product form, and save.
  • A new region appears, called Ebook formats. Set the Format type to 029: EPUB
